PMIS optimization and transformation for a confidential healthcare provider

A large healthcare provider engaged the team to assess and optimize its Project Management Information System (PMIS) to improve alignment with capital program objectives, enhance user adoption, and maximize the value of its technology investment.

Through a comprehensive evaluation of system configurations, workflows, governance processes, and stakeholder requirements, the team implemented targeted enhancements that improved reporting, streamlined project administration, strengthened program oversight, and established a scalable foundation for future capital program growth.

Brief

A large healthcare provider engaged the project team to evaluate and optimize its Project Management Information System (PMIS) environment. The platform supported the planning, execution, and reporting of capital projects. Although the organization had invested significantly in its PMIS platform, leadership identified opportunities to improve module utilization, user adoption, workflow efficiency, reporting capabilities, and alignment between system functionality and business processes. The engagement focused on assessing the current-state PMIS environment, gathering stakeholder feedback, identifying performance gaps, and developing a roadmap for enhancements. The objective was to maximize the value of the client’s technology investment while improving governance, data quality, reporting consistency, and overall capital program management effectiveness.

What we did

The project team completed a comprehensive assessment of the client’s existing PMIS environment, including a review of active modules, system configurations, workflows, reporting structures, and governance processes. Interviews and workshops were conducted with end users and key stakeholders to evaluate system performance, understand operational challenges, and identify improvement opportunities. The team assessed module utilization, documented enhancement opportunities, and developed detailed business and technical requirements to better align the platform with organizational objectives. Based on the assessment findings, the team configured updated PMIS modules, enhanced workflows, refined reporting capabilities, and supported deployment and rollout activities. The engagement helped transform stakeholder feedback and business requirements into practical system improvements that strengthened project delivery and program oversight.

Outcome

The engagement resulted in a significantly enhanced PMIS environment better aligned with the healthcare organization’s business processes and capital program objectives. Updated module configurations improved usability, increased adoption, and streamlined project administration activities across the organization. Enhanced reporting capabilities provided greater visibility into project performance, financial status, and portfolio-level metrics, supporting more informed decision-making by project teams and leadership. The development and implementation of updated configurations established a stronger foundation for data management, governance, and program controls. By combining stakeholder feedback, process analysis, and technology improvements, the organization improved the effectiveness of its PMIS platform. The result was a scalable environment capable of supporting future capital investments and continuous improvement initiatives.
